The situation
Dr. Frost's practice runs solid: 126 five-star reviews, 300–400 patient visits a month, a fully claimed Google Business Profile, 65 exact-match citations across 77 directories. The HighLevel platform was already in place via Veloce Solutions. The R6 audit landed at 82% — excellent band.
What was missing was the weekly operation on top of the platform. Review requests timed correctly. Reactivation campaigns running. Response times under 24 hours instead of 30+ days. Content shipping. The lowest score on the audit was SEO at 67% — the practice ranked #1 at the office and dropped to 7-10+ one mile out.
Dr. Frost's instinct to wait on review requests was clinically correct (chiropractic outcomes build across visits, not in one session) — and it was also why a practice with 126 five-star reviews wasn't generating reviews at the pace it should.
What we did
- Building a timing-aware review workflow: 1–10 check-in text after visit 3, with automatic routing — 8–10 gets a Google review request, 5–7 gets a front-desk follow-up, 1–4 triggers an internal alert before churn
- Activating daily Google Business Profile monitoring and same-day review responses (cutting response time from 30+ days)
- Segmenting the patient database by last-visit, care-plan status, and original complaint; launching a multi-touch reactivation campaign across SMS and email
- Adding birthday, anniversary, re-care, and referral workflows on top of HighLevel
- Pushing on-site SEO fixes: schema (LocalBusiness + Physician + Review), meta descriptions, mobile page-speed and image compression
- Publishing two blog posts per month targeting local + condition queries
- Setting up Local Services Ads with full Google Guaranteed application, then training Dr. Frost to run the account himself
What happened
Engagement signed April 23, 2026. The 90-day launch is in flight: Month 1 foundation, Month 2 activation, Month 3 optimization. We'll publish the before-and-after on review velocity, GBP response time, rank radius, and patient acquisition as the data comes in.
ROI model on the proposal: at $597/mo ongoing and $65 average revenue per visit, the engagement breaks even at 9 incremental visits per month — about two per week. Conservative monthly uplift modeled at 20–34 visits across reviews, database activation, SEO/content, and LSA combined.
